Most Pencils Down 2025 events will be held at the Philadelphia Marriott Downtown. An evening reception will take place off-site at a nearby venue.
Colleagues will stay at either the Philadelphia Marriott Downtown, The Notary Hotel, or Element Philadelphia Downtown.
Most staff will arrive on Thursday, February 6, spend the night in Philadelphia, and depart on Friday, February 7. Some colleagues—based on where they live or their participation in the service project—may be invited to arrive on Wednesday, February 5. The Pencils Down team will follow up with any staff who need to arrive early.
College Board will cover a hotel room for one night on February 6. Preapproved early arrivals will have a room for two nights on February 5 and February 6. All staff will check out on February 7 unless they've arranged to extend their stay at their own expense.

Additional Nights in Philadelphia
Unless you're an early arrival, College Board won’t pay for additional hotel nights in Philadelphia. If you choose to stay for additional nights, costs must be covered by your department budget code with manager approval (if staying for business) or out of pocket (if staying for personal reasons).
